By submitting your application and engaging in participation, all applicants release and hold harmless Cornerstone Tailgates and all event sponsors from any and all liability, as outlined in the rules and regulations. Applications and/or acceptance notifications are not contracts. Your application is not complete until you've paid the participation fee. Vendor Application

I, as the authorized agent for the above named organization agree to hold Cornerstone Tailgates harmless for theft of, damage to, loss or destruction of merchandise, materials, equipment or personal property which I may have on the grounds of a the Beats, Brews and BBQ event and any injury or damage that might be caused to others arising from my organization’s participation in this event. I also understand that Cornerstone Tailgates will not be held responsible for sales, weather, or other unforeseen revenue losses and does not guarantee revenues or numbers of event patrons. I also certify that the above named organization is in compliance with all State health and tax regulations and if applicable, operations are appropriately permitted by Lane County. All requests are subject to acceptance by Cornerstone Tailgates. staff and their decision is final. I understand that my signature holds me responsible for the information on this agreement. By signing below I agree to abide by the rules and conditions set forth by Cornerstone Tailgates.

Vendor participation is $250 to reserve your  space at the 2017 Beats, Brew and BBQ

  • Vendor setup begins Friday, June 9th from 7 a.m. – 3p.m.
  • Event begins at 5 p.m. on Friday, June 9th, so please prepare in advance to be setup and ready to go by 3 p.m.
  • Gates will open to public at 5 p.m. on Friday, June 9th
  • Gates will close at 11 p.m. on Friday and Saturday
  • Judging will begin at 3 p.m. Saturday
  • Vendors may break down on Saturday night, or return Sunday morning between the hours of 7 a.m. – 11 a.m.
  • Each vendor has the option to provide items for vending and are solely responsible for selling their product(s).

  • Deadline for application for one booth space is May 9th
  • Deadline for application of two booth spaces is May 5th
  • Vendor booth space must be paid by May 12th at 5 p.m.
**Please note that failure to meet deadlines will forfeit your space at the event. All payments are to be made payable to Cornerstone Tailgates.

  • Current Food handlers permit issued by health department
  • Mobile food unit license form
  • Single event temporary license (application attached) All event licenses and permits must be paid for and copy of proof sent to Cornerstone Tailgates by May 26th, 2017

  • Electrical Equipment: Vendors requesting the use of electricity must provide their own extension cords. All electrical equipment being used must be examined by the vendor before arriving for set-up.
  • All electrical items, including extension cords, must be in good working condition and safe to use. Electric needs must not exceed 110volts/15 amps unless otherwise specified; YOU MUST REQUEST ELECTRICAL ACCESS on your original application, which will be taken into consideration upon application approval.
  • If the electrical requirements exceed 110volts/15 amps YOU MUST PROVIDE YOUR OWN GENERATOR.
  • Vendors will abide by EVENT STAFF REQUIREMENTS regarding set up time and location(s)
  • It is the vendor’s responsibility to clean their booth space prior to leaving the event. Vendors are responsible for removing debris and ensuring the general cleanliness of the area surrounding their booths throughout the event and following its conclusion.
  • All vendors are required to check-in at Event Registration tent prior to set up. Vendors will be given five passes per booth.
  • NO STYROFOAM FOOD CONTAINERS including cups, plates, etc. will be allowed.
  • Photo ID is required at time of check-in.
  • Applicants shall serve food at their own risk.
  • Cornerstone Tailgates and its affiliates are not responsible for damage, theft, or loss of equipment, or display furnishings.
  • Applicants must obey all pertinent safety codes and laws, including, but not limited to, fire, safety and parking regulations.
  • Canopy tents must be fire retardant; open flames must be located a minimum of 10’ away from all canopy materials.
  • The BBQ competition will take place rain or shine. Applicants agree to be present despite weather conditions.
  • Each participant is responsible for prepare their displays to withstand weather fluctuations including rain and wind.
  • Event participants agree to allow use of video and photography taken by event organizers at the event for promotional purposes.
  • Any photos taken by the event are the property of the Event.
  • All propane tanks are required to be anchored securely. Use of tobacco will be allowed in permitted areas only.
 

Judging will consist of four meat categories and rated on a scale of one to four stars, including:

- Tenderness, appearance, taste, people’s choice and bacon wrapped popper -

Awards will be announced at the end of each hour after judgment deliberations have been made. A prize will be awarded to the winner of each category. All awards will be announced at 9 p.m. before the last music set.
